Leasing Policy for College Properties

Agnes Scott College believes it is mutually beneficial to both the college and Decatur residential community for members of the faculty and staff to live near the center of campus life. Agnes Scott has designated various types of college-owned housing for lease with priority given to members of the college community. The college is committed to supporting a stable and cohesive community and to providing comfortable and well-maintained rental properties.

Property Leasing Committee

To ensure fairness and consistency in the leasing process, the college has established a property leasing committee. This committee will review all lease applications and assign properties in a fair and equitable manner. The committee consists of the president and all vice presidents. The director of human resources serves as an advisory member.

Procedures

As properties become available, facilities will inform the property leasing committee. The committee will decide whether to post, depending on the needs of the college. The following are general guidelines:

September through March: Properties may be listed as they become available.

March through August: Properties vacant at the beginning of March will be held for incoming faculty and staff members.

March 1: the committee will review vacant properties versus the amount of incoming faculty members. If there are not enough vacant homes available, community renters may be given 60 days notice to vacate. This is determined by the vice president for academic affairs, vice president for business and finance and vice president for student life, in consultation with the president.

Posting of vacant properties will be done through e-mail, a public e-mail folder and the intranet to faculty and staff for a period of 30 days.

Any interested parties must fill out an application and submit it to facilities within the 30-day posting period.

Facilities will forward the list of interested parties to the property leasing committee. If more than one person is interested in a property, the house assignment will be determined by eligibility priority.

Eligibility

The college has designated the following constituency groups will receive priority consideration in the assignment of properties:

Officers of the college

Full-time faculty members for the purposes of both recruitment and retention

Staff positions critical to the ongoing day-to-day operations of the college

All other active, full-time faculty and staff members

Agnes Scott students and alumnae

Individuals from the community

Lease Term:

Housing will be assigned on an annual basis with both the college and lessee required to give a minimum of 60 days notice to terminate the lease.

Lease renewals for community members and former faculty and staff members will be reviewed on an annual basis. This will be determined by the vice president for academic affairs, vice president for business and finance and vice president for student life, in consultation with the president.
