Email Quota Policy

Storage requirements for e-mail are increasing annually at an alarming rate. In order to maintain a reliable and stable email environment, we need to limit the volume of mail stored on the servers.  While ITS has increased the storage capacity of the campus e-mail servers, an e-mail quota system is a more effective way to manage disk storage and ensure sufficient resources are available. ITS will implement e-mail quotas for all campus users based on the following:

Procedures

  • When an account exceeds 90% of the maximum quota
    • The System Administrator will send the account holder a message indicating the account has reached 90% of the maximum quota for the account. 
    • The account holder should begin reducing the amount of e-mail.

  • The System Administrator will send the account holder a message indicating the account has reached 100% of the maximum quota for the account. 
    • The account holder will be unable to send  e-mail until the e-mail quota is reduced below the quota.
    • When an account reaches or exceeds 100% of the maximum quota

Account holders can take the following steps to reduce the amount e-mail stored in their account:

  • Empty Deleted Items folder
  • Delete messages in Sent Items
  • Delete unnecessary copies of e-mail
  • Save attachments to CD or local hard drive
  • Move e-mail messages into Personal Folders when using the desktop version of Outlook
  • Archive email
