GENERAL SUMMARY: Coordinates all aspects of campus wide purchases of technology hardware and software within the guidelines of applicable laws and college and departmental policies and procedures. Reports to the associate vice president for technology and works with co-workers, faculty, staff, students, outside technical support personnel, vendors, and other external contacts to fulfill technology purchasing needs to the Agnes Scott community.

ESSENTIAL JOB FUNCTIONS

  1. Coordinates campus wide purchases of technology hardware and software; works closely with departments to ascertain their needs; obtains vendor quotes, generates purchase orders and funds transfers.
  2. Coordinates anticipated orders with central receiving by faxing copies of purchase orders, arranging delivery times and oversees that equipment is stored in a secure area until released to technicians for configuration and installation.
  3. Provides guidance and advice to faculty and staff in the selection of computer hardware and software by conducting research based on the needs of the purchaser.
  4. Maintains seven years of purchasing and maintenance agreement records.
  5. Inserts meticulous detail into the tracking system (BridgeTrack) regarding each purchase beginning with the initial request from purchaser, thru ordering, receiving and disposition of the order.
  6. Establishes and maintains relationships with vendors to obtain quality technology equipment and software.
  7. Creates and updates computer software database records for campus purchased software.
  8. Creates computer equipment database records using IT-developed equipment inventory database.
  9. Writes and maintains office standard operating procedure (SOP) manual, provides guidance to staff in preparing unit SOPs.
  10. Conducts research and develops IT departmental procedures under direction of associate vice president for technology.
  11. Supervises and directs activities of work study students:  assigns and monitors work; determines standards of performance from the students and ensures that quality control standards are implemented and adhered to.
  12. Provides administrative support for the associate vice president for technology; prepares office correspondence and reports, coordinates departmental-initiated meetings, and conducts various research activities.
  13. Works closely with the associate vice president for technology in budget management activities.
  14. Orders and manages departmental office and technology-support supplies.

REQUIREMENTS

Education:  2-year college/trade school in related occupational field of study.

Experience:  Minimum of 3 years work experience with other employers, plus 2 years training time at ASC, for a total of 5+ years. 

KNOWLEDGE, SKILLS AND ABILITIES:

  • Familiar with college and departmental policies and procedures, modern office equipment and procedures, and basic accounting/bookkeeping techniques.
  • Proficiency in PC-based software, including MS Word, Access, and Excel.
  • Excellent interpersonal and communication skills, both verbal and written.
  • Exceptional organizational skills with excellent follow-up techniques and attention for detail.
  • Strong interpersonal skills and the ability to interact with a diverse group of individuals and personalities.
  • Demonstrated ability to work independently and to maintain confidentiality where appropriate.
  • Experience in preparation of various publication materials.

PHYSICAL DEMANDS

Intermittent sitting, standing, stooping, crouching, walking, and occasional moving of light objects.  Work is performed in an office environment.
